Team and roles
You manage the team in the panel, under Team.
| Role | What they can do |
|---|---|
| Administrator | everything, including company settings, payroll and deleting accounts |
| Manager | manages clients, team and schedule; no company settings |
| Staff | works within their own scope — depending on the subtype |
| Client | sees only their own data |
Staff subtypes
Section titled “Staff subtypes”One person can hold several subtypes at once:
- trainer — runs clients, training plans and sessions,
- dietitian — runs meal plans,
- front desk — operates the kiosk, check-in and sales,
- instructor — runs group classes.
The subtype decides what a person sees and where they land after signing in. Someone with only the front desk subtype goes straight to the kiosk, bypassing the panel.
Adding a staff member
Section titled “Adding a staff member”Team → Add: first name, last name, email, role and subtypes. The staff member gets an invitation and signs in with a one-time code, exactly like a client.
Data visibility
Section titled “Data visibility”A trainer sees only the clients assigned to them. Managers and administrators see everyone. This is not a setting — it is how data isolation works, and it cannot be loosened from the panel.
Companies are separated from each other at the level of every row in the database. If someone works at two companies, they have two separate staff accounts and switch between them.
Removing a staff member
Section titled “Removing a staff member”Delete anonymises the personal data and closes the account. That person’s future sessions are cancelled automatically, and clients get their credits back.
Contracts stay — payroll records are subject to their own retention periods.
