Building the work schedule
You build the schedule in the panel, under Schedule. It is a work plan and a time record at the same time — two things usually counted separately.
Weekly availability
Section titled “Weekly availability”Every staff member has recurring availability: the days and hours they normally work, with a validity period. It is the skeleton the concrete shifts come from.
Shifts
Section titled “Shifts”A shift carries two sets of hours:
| Hours | Meaning |
|---|---|
| Planned | what the schedule said |
| Actual | what actually happened |
Keeping them apart is deliberate. The schedule says who was due in; the record says who came and when they left. Payroll counts from the actual, not from the plan.
A shift has a status and needs approval before it enters the monthly settlement.
Absences
Section titled “Absences”Leave, sick leave and unpaid absence are filed separately, with an approval flow. An approved absence shows in the schedule and drops out of availability, so the calendar won’t offer a slot during it.
Where each person sees it
Section titled “Where each person sees it”| Surface | Scope |
|---|---|
| Panel | building and approving, whole-team view |
Trainer app (More → Work schedule) | preview of your own upcoming shifts |
| Front desk kiosk | preview of your own shifts, icon in the header |
Editing lives in the panel only. Building a schedule needs a view of the team’s whole week, while on the move you need the answer to one question: when is my next shift.
